Move your records from another TMS

Bring linked load history, invoices, receipts, opening receivables and private documents from CSV exports.

Go to Imports. Owners with all required company, directory, dispatch, finance and document permissions can use Linked TMS migration. Single-list import remains available for smaller tasks. Neither workflow is a direct connection to a named TMS. Keep your old system and exports until reconciliation is complete.

  1. Create a saved draft with a source namespace and cutover date. Keep both unchanged for later exports from that system.
  2. Download the templates and map your CSV columns. Use stable source IDs for directory records, loads, stops, invoices, invoice lines, receipts, opening receivables and documents. Related rows reference those source IDs.
  3. Stage all related files and inspect their saved values. To reuse a directory record, expand its preview row and search with Link to existing record. Linking does not overwrite existing fields.
  4. Stage the document manifest, then upload matching files or a folder. File paths are relative to the selected folder. PDF, JPEG, PNG and WebP are supported, up to 10 MB each.
  5. Review the complete migration. Resolve missing links, duplicate numbers, currency differences, missing files and financial conflicts. Review invoice totals, cash receipts, noncash opening credits and remaining receivables before confirming.
  6. Apply the reviewed migration. Records are committed in batches. After a reload or uncertain response, open the saved run and choose Resume saved migration. Confirmed source IDs are reused rather than imported twice.
  7. Download the reconciliation and compare counts, balances and attachments against the old system. Applied batches cannot be automatically undone.

Opening receivables are per invoice at cutover. The importer subtracts the known receipts from the invoice total before calculating any additional opening credit. This credit is marked noncash; it is not a payment collected or transferred through FleetOne. Conflicting balances are refused.

Use YYYY-MM-DD dates, timestamps with a time zone, and decimal-point amounts without currency symbols. Currency must match the company. A run supports up to 20,000 linked records, with company capacity and storage limits still enforced. One invoice per load and up to ten load documents including invoice attachments are supported.

Vendor-specific extraction, currency conversion, credit notes, voided invoices, accounts payable, settlements and driver pay history need separate review. Imported invoices, receipt history and opening credits are excluded from QuickBooks export to prevent duplicate accounting entries.

Single-list import still maps dates and numbers from operational CSVs. It supports customers, carriers, drivers, equipment and open loads. Its interrupted request plan stays in the open page; use Linked TMS migration when you need saved cross-reload checkpoints and source relationships.
